How to associate a QBO invoice into a deal in TrueRev

  1. From the TrueRev dashboard, go to the Contracts tab.

  2. Select the contract to which you want to associate the QBO invoice.

  3. Once the contract is open, go to the Billing tab.

  4. In the “Associate an existing invoice” box, type the invoice number or the customer’s name to search the QBO invoice, then select.

  5. The “Manage invoice line associations” dashboard will open. Click the “+Associate” button and select the Product.

CREATE A NEW PRODUCT:

  1. Select “Create a NEW product” if there is no existing product in the Bookings tab. Then, choose the term to which the invoice will be associated. By default, the Initial term will be displayed, but you can change it by clicking “Clear selected term”.

  2. Select “Create a NEW revenue set-up” if there is no existing revenue set-up to associate with the invoice.

  3. Switch the button to "Ratable" if the revenue needs to be distributed over a period. By default, the "Start date" and "End date" are set based on the selected term. However, you can modify the dates to specify the actual period for revenue recognition. You can also use the “fill” button by choosing either “term” or “invoice”.

  4. Toggle the button to “Allatonce” if the revenue will be recognized one time or in a single instance. Then, set the “Start date” to recognize the revenue.

  5. Click “Associate”, then “Done”.

  6. Check the “Revenue” tab if the revenue schedule of the associated QBO invoice is correct.

USE EXISTING PRODUCT:

  1. Select “Use existing product” if there is an existing product in the Bookings tab to associate with the invoice.

  2. Use the dropdown to select the product.

  3. Click “Associate”, then “Done”.

Finally, check the “Revenue” tab if the revenue schedule of the associated QBO invoice is correct.
